Minutes
Meeting Date: Sunday August 26th, 2007 1pm - 3pm

Introduce Larry
Larry has been at many of the events over the summer, so we are all familiar with him. We were very happy to find out that he was interested in joining our membership group.
He advised us that he travels quite a bit, but he tries to plan his travel around the games and the events. He will be at as many as he possibly can.
Bring Larry up to date
We briefed Larry on what is currently being worked on through our partnership with the Coyotes. The following items are pending -
- Logo - complete
- Membership application - pending
- Pins, lanyards, shirts - pending
- 8x10s - pending
- Booth - still a question. If we are going to have a table we need a better location
- Other benefits - being discussed
Marketing and Advertising Plans
Our membership application / brochure is almost complete. Don is going to have a final draft this week, we hope. It is in the final development / approval stage, so it should be ready soon.
The brochure will go in any season ticket holder mailings that are sent once it is finalized. It will also be used at all games, CoyotesFest and other events to help draw in new members.
We are going to see if we can get an advertisement in the program for the whole season.
We would also like to have in arena scoreboard messages and announcements before the game and again during the first or second intermission.
We will check with the Coyotes on these and put the copy together ASAP if they approve it.
Because we realize we may end up with just a table again this year, rather than a structured booth that we really want, we discussed the need to get a banner that could hang up behind us and be visible over the heads of the crowd. We will discuss this with the Coyotes also so we can determine cost and get the item ordered. It may be a good idea to get something similar to the 2x3 sign we already have.
Events
The Phoenix Roadrunners and Arizona SunDogs are playing two games in Prescott on Oct 12 and 13. We are currently planning a road trip for the game on the 12th. It is possible that we could attend the game on the 13th also, depending on the start time. We will post this event on the website for others to join.
The club should attend the Face Off Luncheon. We can reserve a table together, but the club will not be able to pay for the table. The individuals will need to pay for themselves. We will contact the Coyotes to let them know we are interested.
Homework
Since there isn't a lot that we can do right now, we decided the most important thing is for us to work on the Membership Points program. Everyone will look at the existing system and put together what they think it should be. At our next board meeting (or on email) we will work on combining all versions to come up with the final.
We also have some print at home business cards, so everyone needs to submit what they want on their cards, and Heather will print them and bring them to the next event.
We also need to think about membership cards, and how we can make them, print them and get them laminated. It would be beneficial to have them so they can be attached to the lanyard and make it easy to visibly identify members.
We will also review the bylaws to be sure we all approve.
The meeting was adjourned at 3:00pm. We would like to meet with the Coyotes next on 9/17 before the game. It is a 6pm game, but we are hoping they will be available.
