Agenda:

  • PO Box
  • Membership Fee
  • Membership Application
  • Membership Pins (old)
  • Web Content Review
  • Bylaws
  • Convention
  • New issues

PO Box

We need to have an address where our mail can go that is not a personal address. Since we don't have a business location, we need to find a neutral location.

Our Known Place of Business service from KeytLaw is NOT what we thought it was.  We are not able to receive general mail there.  We will NOT renew this service for next season.

There are two options, USPS and UPS.  It is $84 per year with the post office, and $120 for 15 months with UPS.  The UPS service is an address, not a PO Box, and the offer additional services along with the box.

It was agreed upon by all that we will go with UPS.

Membership Fee

We discussed the current price plan - $25 for single, $40 for family of 5.

All agreed with this plan.  If families are larger than 5, they can purchase any additional items separately.

Membership Application

We need to approve the content of the application so we can send it to the Coyotes.

The benefits list includes all of the options the club as control over, so we accept this list.  Other benefits may become available during the season, and we will update the website with the information.

The application needs to have a note that indicates that by joining, the member agrees to comply with the Code of Conduct.

The updated application form and the benefits will be sent to the Coyotes to print.  We will suggest that they only print a limited number at first, in case we have edits as we move along with logos etc.

We will also request that the Coyotes legal department review our Code of Conduct, and provide us with a disclaimer if needed.

Membership Pins (old)

We have a lot -

  • 2004 - 2005 pin - 160
  • 2005 - 2006 pin - 234
  • 2006 - 2007 pin - 760

Should we sell them on eBay to bring in some money?  If yes, what price should we charge?  Should we give some to San Antonio and the Roadrunners groups?

The board has decided to sell the pins on eBay.  The 2005-06 and 2006-07 pins will sell for $3.99 each.  The 2004-05 pin will sell for $5.

We will set aside some for the Rampage and Roadrunners clubs.  50 each for the 2006-07 pin, 25 each for the 2005-06 pin, and 5 each for the 2004-05 pin.

We will contact those clubs to be sure they want them.  If they don't we will add them to the inventory to sell.

Web Content

We need to review the Code of Conduct, Points System and Mission Statement/Goals content.

The Code of Conduct needs to have a paragraph added that indicates a member can be asked to leave for any reason.  If they are asked to leave, they must surrender any club ID that may be issued.

The Points System is approved in principle.  We need to develop what members are working to earn, and verify that the point values for each event are acceptable.  This will all be done once we have a membership and volunteer committee.

Bylaws

We have a draft of the bylaws that needs to be reviewed.

We looked over the document and made some changes.  We agreed that we do not need to have a final draft until the full board is in place.

The recommended changes will be made prior to the next meeting of the board.

Convention

The NHLBC Convention is in Philadelphia from August 10 - 12.  Are any of us able to go?

No one will be able to attend on behalf of the Phoenix Coyotes Booster Club.  There may be people from last year's club attending however.

We will write an email to the Philly club to let them know we regret that no one will be there to represent the official club.

Other Items

If we are able to have a trophy for the end of the year awards, we should name it after the booster club member from Payson who passed away last spring.  It should be a memorial award for dedication to the team and the community, since she came so far and rarely missed an event, much less a game.

We are meeting with someone about the possible pins, t-shirts etc next week.

We need to have an idea of what our possible logo looks like.  The Coyotes were going to work on this for us.  We will check with them about the logo.

We came up with what we want our membership pin to look like.  We need to contact Howler to see if he made any progress on one, if not, we will go with our idea.  Hopefully the Coyotes can make this one for us, since it is using a combination of images they are already using.  The only new parts would be lettering.

We are going to submit a calendar of meeting dates to the Coyotes to see if we can reserve a location for each game in advance, and publish our schedule for the rest of the year before the season starts.

We are still looking in to a design for the booth.  We are having difficulty since we don't know a size from the Coyotes.  We will see if we can get some guidance from them as to what we can do.

The meeting was adjourned at 8:30pm.  We did not set a date / time for the next one.
